This Privacy Policy explains how Reveel Inc., a Delaware corporation operating under the brand "Regent" ("Regent," "we," "us," or "our"), collects, uses, discloses, and protects personal information when you visit myregent.ai, subscribe to our AI executive team services, or otherwise interact with us (collectively, the "Services").

1. Who We Are

Regent is the trade name used by Reveel Inc. for its AI executive team services. The data controller for the purposes of this Policy is Reveel Inc. Contact: [email protected].

2. Information We Collect

2.1 Information You Provide

• Account & contact information: name, email, phone number, company name, job title, and time zone.
• Billing information: billing address and tax identifiers. Payment card details are entered directly into our payment processor (Stripe) and are not stored by Regent. We receive only payment status, last-four digits, and card brand for our records.
• Content you share with Agents: messages, voice recordings, files, documents, calendar events, contacts, and other content you transmit to or generate using the Services ("Customer Content").
• Communications: emails, chat messages, support tickets, and survey responses you send us.

2.2 Information Collected Automatically

• Device and log data: IP address, browser type, operating system, referring URL, pages viewed, timestamps, and crash logs.
• Usage data: features used, prompts submitted, tokens consumed, latency, error rates, and similar telemetry.
• Cookies and similar technologies: session cookies for authentication, preference cookies, and analytics cookies. See Section 8.

2.3 Information from Third Parties

• Authorized integrations: when you connect Regent to a third-party service (such as Google Workspace, Microsoft 365, Telegram, WhatsApp, Slack, Asana, Notion, or Stripe), we receive data from that service in accordance with the permissions you grant.
• Payment processor: Stripe shares limited transaction data with us as described above.
• Public sources and enrichment providers: we may augment business contact data with information from publicly available sources or B2B data providers for sales and onboarding purposes.

3. How We Use Information

We use information to:

• Provide, operate, secure, and improve the Services;
• Process payments, manage subscriptions, and send invoices and receipts;
• Authenticate users and prevent fraud, abuse, and unauthorized access;
• Train Agents on Customer-specific context (this is per-customer fine-tuning or retrieval, not foundational model training — see Section 6);
• Provide customer support and respond to inquiries;
• Send service notices, security alerts, and (with consent or where permitted by law) marketing communications about Regent products;
• Comply with legal obligations, enforce our Terms of Service, and protect the rights, safety, and property of Regent, our customers, and the public.

3.1 Legal Bases (for users in the EEA / UK)

Where the GDPR or UK GDPR applies, we process personal information on the following bases: (a) performance of a contract with you; (b) our legitimate interests in operating, securing, and improving the Services; (c) compliance with legal obligations; and (d) where required, your consent, which you may withdraw at any time.

4. AI-Specific Disclosures

4.1 Generative AI Output

Output produced by Regent Agents is generated by large language models and other AI systems. Output may be inaccurate, incomplete, or otherwise unsuitable. You should review Output before relying on it. See our Terms, Section 1.

4.2 Third-Party Model Providers

To deliver the Services, your prompts and content may be sent to third-party AI model providers (which may include Anthropic, OpenAI, Google, and similar providers) under their respective API terms. These providers process your data on our behalf as data processors / subprocessors. They are contractually restricted from using your inputs to train their public models in API mode, consistent with the providers' published API data policies (for example, OpenAI API non-training default; Anthropic API non-training default; Google Cloud Vertex AI customer-data terms). API providers may retain inputs for a short window for abuse monitoring before deletion.

4.3 No Foundational Model Training

Regent does not use Customer Content to train foundational AI models for other customers or third parties. We may use de-identified, aggregated technical metadata (latency, error rates, feature usage) to operate and improve the Services. We may use Customer Content to provide and improve the Service for that specific Customer (for example, retrieval-augmented memory, persona tuning) — this stays within that Customer's account.

4.4 Voice Calls

If you use Regent's voice features, calls may be recorded and transcribed for the purposes of providing the Service, generating notes, and quality assurance. Where required by law (including two-party-consent jurisdictions), Regent or the call host will provide notice and obtain consent before recording.

5. How We Share Information

We share personal information only as described below. We do not sell personal information.

6. Data Retention

We retain personal information for as long as necessary to provide the Services and for legitimate business purposes such as billing, dispute resolution, fraud prevention, and legal compliance.

• Account data: retained while your account is active and for up to 24 months after termination, unless a longer period is required by law.
• Customer Content (messages, files, Agent memory): retained while your account is active. On termination, we delete or anonymize Customer Content within 90 days, except for backups that are aged out on standard rotation cycles.
• Billing records: retained for at least seven (7) years to meet U.S. tax and accounting requirements.
• Logs and security data: typically retained for 12 months.

7. Security

We use commercially reasonable administrative, technical, and physical safeguards designed to protect personal information against unauthorized access, alteration, disclosure, and destruction, including encryption in transit (TLS), encryption at rest where supported by our infrastructure, role-based access controls, audit logging, and least-privilege access for personnel. No method of transmission or storage is perfectly secure. You are responsible for protecting your own credentials and devices.

8. Cookies and Analytics

We use first-party cookies for authentication and preferences, and may use privacy-respecting analytics (such as Cloudflare Web Analytics or similar) to understand aggregate site usage. We do not use third-party advertising cookies. Most browsers let you refuse or delete cookies; doing so may limit some features.

9. Your Privacy Rights

9.1 General Rights

Depending on where you live, you may have the right to: (a) access the personal information we hold about you; (b) correct inaccurate information; (c) delete personal information; (d) object to or restrict certain processing; (e) port your data to another service; and (f) withdraw consent at any time. To exercise these rights, email [email protected]. We will respond within the timeframes required by applicable law.

9.2 California Residents (CCPA / CPRA)

California residents have the right to know what personal information we collect, to request deletion, to correct inaccurate information, and to opt out of "sales" or "sharing" of personal information. Regent does not sell personal information and does not "share" personal information for cross-context behavioral advertising as those terms are defined under the CPRA. 9.3 Other U.S. State Privacy Laws

Residents of Virginia, Colorado, Connecticut, Utah, Texas, and other U.S. states with comprehensive privacy laws have similar rights. To exercise them, contact us at [email protected]. You may also appeal a denied request by replying to our response.

9.4 EEA / UK

If you are in the EEA or the UK, you may lodge a complaint with your local data protection authority. We will work with you in good faith to resolve any concern before that step.

10. International Data Transfers

Regent is based in the United States. If you access the Services from outside the U.S., your information will be transferred to and processed in the United States and other countries where our service providers operate. Where required, we rely on appropriate safeguards such as the European Commission's Standard Contractual Clauses and the UK Addendum.

11. Children's Privacy

The Services are not directed to children under 16, and we do not knowingly collect personal information from children. If you believe a child has provided personal information to us, please contact [email protected] and we will delete it.

12. Do Not Track

Some browsers signal "Do Not Track." Because there is no industry-standard interpretation, we do not currently respond to DNT signals. We continue to honor the privacy choices described in this Policy.

13. Changes to This Policy

We may update this Policy from time to time. The "Last updated" date at the top reflects the most recent revision. Material changes will be communicated by email or in-product notice prior to taking effect.
